How do I gain access to my club's admin portal?

AFA will grant initial administrator access to the nominated club representative supplied. From there, any club admins can grant access to additional users for their club's PlayHQ admin portal.

What are the fees for use for PlayHQ?

There is a standard 4% platform fee payable on all registrations, collected at the checkout. Under the national agreement there are no other license fees charged in addition to this. The 4% fee is a combined fee for the payment gateway and the PlayHQ platform access fee.Should clubs choose to offer the payment instalment option to their members this will incur an additional $0.50 fee per instalment. 
Note: this instalment option is separate to the standard PayPal Pay in 4 option available as a payment method. Clubs can choose whether to utilise the instalment payment option.

Can clubs absorb the 4% PlayHQ transaction fee, or must it be passed on to the participant?

The AFA tenant within PlayHQ has a global default setting that the required access fee is payable on registration by the participant.

Can clubs make alternative payment arrangements for participants experiencing financial hardship?

Accepted Answer

Yes. The intent of AFA's national PlayHQ policy is to prevent the systematic avoidance of collecting registration fees through the platform, not to disadvantage participants experiencing genuine financial hardship or those unable to use the available online payment methods.In exceptional circumstances, clubs may make alternative payment arrangements, provided the participant is still registered through PlayHQ and all applicable AFA and State registration requirements are met. Genuine hardship or equitable access considerations will not, in themselves, result in a club losing access to the PlayHQ platform.

Who covers the 4% transaction fee if a participant requires a refund?

The 4% transaction fee is non-refundable. The refund policy for AFA is outlined in the registration terms and conditions available on our website (https://www.americanfootball.org.au/terms-and-conditions). PlayHQ offer registration fee insurance as an optional item at checkout. This is a PlayHQ insurance integration and does not form part of the AFA T&C's or insurance program.

What payment options are available?

Participants can make payments via Credit/debit cardApple PayGoogle PayClick to PayPayPalPayPal Pay in 4This provides a range of convenient and flexible options to pay registration fees.Clubs can also utilise the payment instalment options for club registration fees. Providing their players with a 4 instalment payment plan managed via PlayHQ. This instalment option only relates to club registration fees and not state or national fees. It also does not apply to any additional product sales set up as part of registration.

What is the exact disbursement timeline for club fees collected via PlayHQ?

Club or states will receive funds from PlayHQ when they are disbursed 7 days after date of registration.

Question 9

How does the transition affect historical participant data from previous registration platforms?

Accepted Answer

In the initial transition phase there will be no historical registration data or membership logins imported into PlayHQ. All players will create a new profile or login, or can utilise an existing login they may have for PlayHQ for other sports.

What if players already had a 12 month AFA membership previously purchased?

Accepted Answer

PlayHQ will always require a player to have a current membership for the full duration of the season they are registering in.You can not register if your membership would expire mid-season and must pay the membership renewal fee at time of registration to remain current throughout.For any players with an AFA player membership that would expire by December 2026, they will need to purchase a new membership to register for this inaugural season in PlayHQ.

Any players with an AFA Player Membership that was valid through to 2027 can contact AFA to request a discount code. Please refer to the PlayHQ FAQ's for members for further details.

Clubs can not create discount codes for any national or state registration fees, this can only be provided by AFA.
